How to invoice for plumbing work: put the call-out fee, labour (with any after-hours rate) and parts on separate lines, invoice the way you quoted (fixed price or do-and-charge), reference the compliance certificate, and add 10% GST if you're registered. A free plumber invoice template gets the layout right in a minute; this guide covers the decisions that decide whether you get paid in full and on time, with a worked emergency call-out invoice.
For the general list of what a valid tax invoice must show, see tax invoice requirements in Australia. For whether to charge GST at all, see do I add GST to my invoice? This page covers what's specific to plumbing.
What goes on a plumbing invoice?
A plumbing invoice should show the call-out fee, labour and parts as separate lines, with the job address and any after-hours loading made obvious. The more urgent the job, the more the customer looks at each line afterwards, so itemising is how you avoid the "$700 for a pipe?" phone call.
| Line | How to write it | Tip |
|---|---|---|
| Call-out fee | "Call-out fee (business hours)" or "After-hours call-out" | State what it includes, e.g. travel and the first 30 minutes |
| Labour | "Labour: 2.5 h × $165.00 (after hours)" | Name the rate band so it matches what you told them on the phone |
| Parts and fittings | "15mm isolation valve × 1 @ $38.50" | Quantities and unit prices, not "parts: $102.50" |
| Equipment | "CCTV drain inspection" or "Jetter hire" | Big-ticket equipment deserves its own line |
| Disposal | "Removal and disposal of old hot water unit" | Customers accept it when it's named |
| Certificate reference | "Compliance certificate no. ____" | Ties the invoice to the paperwork |
Write the description so the customer can repeat it to someone else. "Replaced burst 15mm copper section under kitchen sink, fitted new isolation valve, pressure tested" will survive a landlord or insurer reading it. "Plumbing repairs" won't.
How should plumbers charge call-out fees and after-hours rates?
Agree both before you arrive, then show both as their own lines. An after-hours call-out and a higher hourly rate are normal in plumbing, but they're the lines most often disputed when the customer first hears about them on the invoice.
- Say the price on the booking. "After-hours call-out is $180, then $165 an hour" in a text before you drive out is the best dispute prevention there is.
- Pick one structure and stick to it. Either the call-out includes the first block of time, or it's a pure attendance fee and labour starts on arrival. Write which on the invoice.
- Show the time. "Attended Sat 9:40pm, departed 12:10am" makes a 2.5-hour labour line self-evident.
- Split mixed jobs. If you make it safe at night and come back on Monday to finish, invoice the emergency attendance and the return visit as separate lines at their own rates.
Worked example: an emergency call-out tax invoice
Here's a Saturday-night burst pipe, invoiced by a GST-registered plumber to a homeowner. Every line is GST-exclusive, GST is added once at the bottom, and the total is easy to check.
| Line item | Qty | Rate (ex GST) | Amount (ex GST) |
|---|---|---|---|
| After-hours call-out (Sat 9:40pm) | 1 | $180.00 | $180.00 |
| After-hours labour: isolate, cut out and replace burst section, pressure test | 2.5 h | $165.00 | $412.50 |
| 15mm copper pipe and fittings | 1 | $64.00 | $64.00 |
| 15mm isolation valve | 1 | $38.50 | $38.50 |
| Subtotal | $695.00 | ||
| GST 10% | $69.50 | ||
| Total (incl. GST) | $764.50 |
Check the maths: labour 2.5 × $165 = $412.50; subtotal $180 + $412.50 + $64 + $38.50 = $695.00; GST $69.50; total $764.50, and $764.50 ÷ 11 = $69.50. Head it "Tax Invoice" and add your ABN, licence number, the job address and your bank details. The total is under $1,000, so the ATO doesn't require the buyer's name on the tax invoice, but put it on anyway so the invoice is easy to chase.
One detail worth noticing: in Victoria, a plumbing compliance certificate is required where the total value of the work, including materials, labour and GST, exceeds $750. On these numbers, this $764.50 job is over that line, so a Victorian plumber would also need to issue a certificate for it. The free plumbing invoice template for Australia has the call-out, labour and parts lines ready and works out the GST for you.
Which plumbing compliance certificates go with the invoice?
Most regulated plumbing work needs a certificate or notice that's separate from the invoice, and the rules differ by state. Reference the certificate or registration number on the invoice so the owner, their insurer or a future buyer can match the two.
| State | Document | What we verified |
|---|---|---|
| NSW | Certificate of Compliance (CoC) | At the completion of all plumbing and drainage work, complete a CoC and give a copy to the person who arranged the work (owner or builder); submit it to Building Commission NSW or the local plumbing regulator. NSW plumbing inspection documents |
| VIC | Compliance certificate | Required where the total value of work (materials, appliances, labour and GST) exceeds $750, and for some gas work regardless of value. Issue it to the customer and lodge it within five days of completing the work. Building and Plumbing Commission |
| QLD | Form 4 (notifiable work) | Register notifiable work with the QBCC within 10 business days of issuing an invoice for the work, then send a copy to the customer or occupier within 20 business days of registering. QBCC notifiable work |
| Other states and territories | Check your plumbing regulator | |
The Queensland rule is worth pinning above your desk: the clock for the Form 4 starts when you issue the invoice. Sending invoices late doesn't just slow your cash; it also blurs your registration deadlines. In Victoria, the regulator is the Victorian Building Authority, now trading as the Building and Plumbing Commission.
Does a plumber's licence number need to be on invoices?
The rules we verified require your licence number in advertising, not specifically on invoices. Putting it on every quote and invoice is free, reassures the customer, and keeps you consistent with your ads.
- NSW: the licensee's name and licence number must be shown in all advertising, and plumbing and drainage work of any value needs a contractor licence to advertise it (NSW building trade advertisements).
- QLD: include your name and QBCC licence number, or your company's name and licence number, in advertisements, which the QBCC says includes websites, social media and online directories (QBCC advertising).
- VIC and elsewhere: check your plumbing regulator's current advertising rules.
Fixed price or do-and-charge: how should plumbers price the invoice?
Fixed price suits jobs you can scope before you start, such as a like-for-like hot water swap or a new tap. Do-and-charge (hourly plus parts) suits jobs where nobody knows what's behind the wall: blocked drains, leak detection and old galvanised pipe. The invoice must follow whichever you agreed.
| Fixed price | Do-and-charge | |
|---|---|---|
| Best for | Hot water replacement, tap and toilet swaps, new fixtures | Blocked drains, leak detection, emergency repairs |
| Agreed in advance | A quote with the total | Call-out fee, hourly rate, parts at listed prices |
| Invoice shows | The quoted price, plus approved variations as extra lines | Actual hours and parts used |
| Your risk | Job takes longer than priced | Customer disputes the hours |
| Protect yourself | Write exclusions into the quote ("excludes rotted pipe behind tiles") | Note arrival and departure times on the invoice |
Quotes vs estimates for plumbing: which do you send?
Send a quote when you can price the whole job, and an estimate when you can't see the problem yet. Label the document clearly, because a customer will treat an unlabelled number as a fixed price.
A quote is a commitment: the invoice should match it, and anything extra needs the customer's approval before you do it. An estimate gives a likely range ("$400 to $650 depending on what we find") and the invoice reflects what you actually did. On bigger jobs, many plumbers combine them: a fixed quote for the known scope plus a do-and-charge rate for anything outside it. The free quote generator lays out lines, exclusions and GST the same way as the invoice, so the two match. For wording and validity periods, see how to write a quote, and for the difference between the documents, invoice vs quote vs receipt.
The slowest part of a plumbing job is often the gap between "yes, go ahead" and the invoice. InvoiceSonic (from the same team) lets the customer accept your quote online, then turns it into the invoice with every line item carried over. Pro (A$19/month) adds open tracking, so you can see whether the property manager has opened it, plus automatic reminders at 7, 14 and 30 days.
How do plumbers get paid by strata managers and real estate agents?
Invoice the party named on the work order, include their reference number, and send it to the accounts address they specify. Most slow payments from agents and strata managers come from invoices that can't be matched to a job, not from customers who won't pay.
- Rental property: address the invoice to the owner care of the managing agent (as the work order names them), with the property address and tenant name.
- Strata common property: address it to the owners corporation care of the strata manager, with the strata plan number and the unit or area.
- Always include: the work order or purchase order number, the date attended, and photos or a short report if the agent asked for them.
- Check approval limits first. Agents often work under a spending limit set by the owner. If the fix will cost more than the work order allows, get written approval before you go over it.
- Set terms on the invoice. A clear due date gives you something to chase; see invoice payment terms in Australia.
When an agency still sits on it, follow a set sequence: a polite reminder at a few days overdue, a firmer one with the work order number at two weeks, then a phone call to the trust accounts team. The full process, with message templates, is in how to chase overdue invoices. If you do a lot of maintenance for builders as well, the tradie invoice template suits subcontract work with your ABN up front.
Common mistakes on plumbing invoices
- "Parts: $102.50." List each part with a quantity and unit price.
- Surprise after-hours rates. If the customer didn't hear the rate before you came out, expect a dispute.
- Invoicing a fixed quote by the hour. The quote is the price, plus written variations.
- No work order number on agency jobs. The invoice goes into a queue nobody can match.
- Sitting on invoices. In Queensland the Form 4 deadline runs from the invoice date; everywhere, late invoices mean late payment.
- Forgetting the certificate. If one is required, reference its number on the invoice.
The short version

Frequently asked questions
What should a plumbing invoice include?
Your business name, ABN and licence number, the customer and job address, the date and a unique invoice number, then separate lines for the call-out fee, labour (with any after-hours rate shown), and parts with quantities and unit prices. If you're registered for GST, head it 'Tax Invoice' and show the GST. Reference any compliance certificate or notifiable work number for the job.
Should a plumber charge a call-out fee on the invoice?
If you charge one, put it on its own line and make sure the customer agreed to it before you arrived, ideally in writing on the booking or quote. A separate line is easier to defend than a higher hourly rate.
Do plumbers need to give a compliance certificate with the invoice?
Often yes, but it's a separate document. In Victoria a compliance certificate is required where the total value of the work, including materials, labour and GST, exceeds $750, and it must go to the customer within five days of completing the work. NSW requires a Certificate of Compliance with a copy to the person who arranged the work. In Queensland, notifiable work must be registered with the QBCC on a Form 4 within 10 business days of issuing the invoice.
What's the difference between a quote and an estimate for plumbing?
A quote is a fixed price for a defined scope; the invoice should match it unless the customer approves a variation. An estimate is a best guess, used when you can't see the problem until you open things up, and the invoice reflects actual hours and parts. Say which one it is on the document.
Who do I invoice for a job at a rental or strata property?
Invoice whoever engaged you, as named on the work order. For a rental that's usually the owner care of the managing agent; for common property it's usually the owners corporation care of the strata manager. Put the work order number, property address and tenant or unit details on the invoice.
