Lawn Mowing Invoice: What to Include, How to Bill Rounds, GST and Strata

The Invoice-Generator.com.au team 16 October 2026 · 9 min read

Lawn mowing invoice basics: your name and ABN, the client and property address, the visit date, what you did (mow, edge, whipper snip, green waste), the total, and GST only if you're registered. The harder questions are how to bill a weekly round, what to do with cash jobs, and what strata managers need before they'll pay. A lawn mowing invoice template handles the layout. This guide covers the decisions around it, with two worked examples.

This is the how-to and decision guide for mowing and garden maintenance rounds. For the full list of what a tax invoice must show, see tax invoice requirements in Australia. For the yes/no rule on charging GST, see do I add GST to my invoice?

What should a lawn mowing invoice include?

A lawn mowing invoice needs the same essentials as any Australian invoice, plus two things specific to the trade: the property address and the visit date. Mowing clients often own several properties or pay through an agent, so "mowing, $80" with no address doesn't get paid.

What line items go on a gardening and lawn mowing invoice?

Put the regular mow on one line and everything else on its own line. Extras like hedge trimming and green waste removal are where invoices get questioned, so give each a quantity and unit the client can check.

ServiceTypical unit on the invoiceTip
Mow, edge and whipper snipPer visit (flat, by block size)Say "front and back" or "front only".
Hedge and shrub trimmingPer hour or per metre of hedgeNote the height if you charge more above 2 m.
Weeding and garden bed tidyPer hourNote start and finish times on big jobs.
Green waste removalPer bag, per bin or per trailer loadSay whether the tip fee is included.
Tip feesAt cost, or cost plus a handling marginKeep the tip receipt either way.
Fertilising, mulch, plantsPer bag, per m³ or per itemSeparate materials from labour.
Gutter clean, pressure washFlat or per hourQuote first; these aren't routine.

Per-visit or seasonal contract: how should you price mowing?

Per-visit pricing is simplest and suits most residential rounds. Seasonal or annual contracts suit strata and commercial clients who want a fixed monthly cost. They also smooth your income through winter, when grass slows down and visits drop.

Per visitAnnual contract, billed monthly
How it's pricedFlat fee per mow, by block sizeAgreed visits per year × visit price ÷ 12
Invoice amountSame each visitSame each month, even in winter
Your incomeHigher in spring and summer, lower in winterEven across the year
RiskClients skip mows when it's dryClient cancels mid-year after the busy months
Best forHomeowners, tenants, one-offsBody corporates, real estate agencies, commercial sites

Contract maths, as an illustration: 18 visits a year at $80 is $1,440, billed at $120 a month ($1,440 ÷ 12). Put the visit count and the visit dates on each monthly invoice. If the client cancels after the busy months, you can then show they've had, say, 12 visits ($960 of work) but only paid 6 months ($720). Agree in the contract what happens to that $240 difference.

Should you invoice each mow or send a monthly statement?

Invoice each mow if the client is new or slow to pay; invoice monthly if they're reliable and you'd rather send one document. A fortnightly round means 2 or 3 visits a month, so a monthly invoice changes amount. List every visit date so the client can see why.

For example, a $75 fortnightly mow on 6 and 20 October 2026 is $150 for October. November has visits on 3 and 17 November, so it's another $150. December gets three (1, 15 and 29 December) for $225. Clients expect the December jump if the dates are on the invoice. Without them, they ring you.

Whichever you choose, keep invoice numbers sequential across the whole round, not per client. It makes the year's records far easier to reconcile.

A mowing round is the same 20 or 40 invoices every fortnight, and the hard part is spotting who hasn't paid. InvoiceSonic (from the same team) saves your clients and properties on the free plan. Pro (A$19/month) adds recurring invoices for weekly and fortnightly rounds and automatic reminders at 7, 14 and 30 days, so late payers get chased while you're on the mower.

Do you need to invoice cash lawn mowing jobs?

You don't have to send a formal invoice for a cash job, but you do have to record it. Cash income is assessable income like any other, and the ATO expects your records to explain every transaction. A quick invoice or receipt is the easiest record to keep.

The ATO says records must be in writing (paper or electronic) and kept for 5 years. It recommends reconciling your daily cash and card takings and banking all cash income into your business account. See its guidance on when to do record keeping tasks.

A workable routine for a mowing round:

If a client wants a receipt rather than an invoice, our guide to what to put on a receipt covers what it needs.

Do lawn mowing businesses charge GST?

Only if you're registered for GST, and registration becomes compulsory once your GST turnover reaches $75,000 a year. Most solo mowing operators start below that, so they send invoices without GST. A busy round can cross the line sooner than you'd expect.

The maths: 25 mows a week at $60, for 50 weeks, is 25 × $60 × 50 = $75,000, right on the threshold. Add hedging and green waste and you can pass it with fewer lawns. The test is a rolling 12 months; our GST registration threshold guide explains it.

Under the threshold and not registered? Send an invoice without GST: "Invoice" heading, no GST line, ABN still on it. Don't add 10% "just in case". If you're not registered, you can't charge GST.

How do you invoice strata, body corporate and real estate clients?

Match their paperwork exactly: invoice the entity on the work order, quote the purchase order or work order number, show the property address and include your ABN. Managing agents process hundreds of invoices, and anything that doesn't match a work order sits in a queue.

The ABN matters more here than anywhere. The ATO's own example is a gardener doing garden maintenance for a body corporate: he's carrying on a business and invoices $250 without his ABN, so the body corporate must withhold the top rate of tax from the payment. That's 47%, or $117.50 of the $250. The exceptions, including payments of $75 or less excluding GST, are on the ATO's payments you don't withhold from page.

Bigger landscaping jobs bring one more rule. Landscaping construction, including paving and design, is on the ATO's building and construction TPAR list. If you pay subcontractors for that kind of work, check whether you need to lodge a Taxable payments annual report. For landscaping jobs that need materials paid upfront, see our guide to the deposit invoice.

Worked example 1: a lawn mowing invoice without GST

A sole trader under the GST threshold, invoicing a homeowner for one fortnightly visit.

Line itemQtyRateAmount
Mow, edge and whipper snip, front and back, 20 Oct 20261$75.00$75.00
Hedge trim, front boundary0.5 hr$60.00$30.00
Green waste removal, bags (tip fee included)3$8.00$24.00
Total (no GST: not registered)$129.00

Check: 75 + 30 + 24 = $129.00. Heading "Invoice", ABN shown, no GST line. If this is your setup, the sole trader invoice generator fills in your name, ABN and bank details each time.

Worked example 2: a GST-registered invoice for a body corporate

A GST-registered operator billing a body corporate monthly for common-area maintenance, against a purchase order. Prices exclude GST.

Line itemQtyRateAmount
Mow and edge common areas (7, 14, 21, 28 Oct 2026)4$180.00$720.00
Hedge trimming, entry and car park3 hrs$65.00$195.00
Green waste removal, trailer loads (tip fees included)2$60.00$120.00
Subtotal$1,035.00
GST (10%)$103.50
Total$1,138.50

Check: 720 + 195 + 120 = $1,035.00. GST is 10% of $1,035.00 = $103.50. Total $1,138.50.

Because the total is $1,000 or more, this tax invoice must also show the buyer's identity or ABN. Here that's the body corporate's name, which you'd include anyway with the PO number. These rates illustrate the maths; they aren't recommended prices.

Frequently asked questions

What should a lawn mowing invoice include?

Your business name and ABN, the client name and property address, an invoice number, the invoice date and visit date, each service as a line (mow, edge, hedge trim, green waste), the total, payment terms and bank details. Add GST and head it 'Tax Invoice' only if you're GST-registered.

Should I invoice every mow or send a monthly invoice?

Invoice every mow for new or slow-paying clients. Send a monthly invoice to reliable clients and list each visit date, because a fortnightly round has 2 or 3 visits in a month and the total changes.

Do I need to record cash lawn mowing jobs?

Yes. Cash income is income like any other. The ATO says records must be in writing and kept for 5 years, and recommends reconciling daily takings and banking all cash income. An invoice or receipt for every job is the simplest record.

Do I charge GST on lawn mowing?

Only if you're registered for GST. Registration is compulsory once GST turnover reaches $75,000 a year; 25 mows a week at $60 for 50 weeks is $75,000. If you're not registered, send an invoice without GST.

What do strata and body corporate clients need on an invoice?

The entity named on the work order, the purchase order or work order number, the property address, the scope of work and your ABN. Without an ABN, the body corporate generally has to withhold 47% from payments over $75 excluding GST.
