Pest control invoice template, built for Australian operators: every invoice shows what was treated, where, with what, and how long you stand behind it. A client who can see the warranty on the invoice pays faster and calls you back instead of the next operator. This free template adds GST and your ABN and downloads as a PDF.

What should a pest control invoice include?

A pest control invoice should include the ATO basics (your name, ABN, date, description, price and GST) plus four pest-specific details: the pest targeted, the area treated, the product used and the warranty terms. Those four lines are what a homeowner, landlord or facility manager checks when activity comes back.

Add the essentials every Australian invoice needs: a unique invoice number, the client's details, the property address, payment terms and your bank details. If you are GST-registered, title it "Tax Invoice"; for sales of $1,000 or more the ATO also requires the buyer's identity or ABN. See the full tax invoice requirements.

Should your pest management licence number go on the invoice?

Yes, as good practice: the licence is the first thing a careful client or property manager checks, and putting the number on the invoice saves the phone call. Licensing is state-based, and the licence covers doing the work, not the invoice itself. The three largest states license pest controllers through different regulators:

StateRegulatorWho needs a licence
NSWEnvironment Protection Authority (pest management technician licence)Anyone applying pesticides, other than fumigants, to control pests for a fee or reward. Service NSW
QLDQueensland Health (pest management licence)Anyone applying pesticides or fumigants on a commercial fee-for-service basis. ABLIS
VICDepartment of Health (pest control licence)Anyone carrying on the business of controlling, destroying or repelling pests, with exemptions such as agriculture and horticulture. Health Victoria

Other states and territories run their own schemes. We have not found a rule that makes the licence number a mandatory invoice field, so check your regulator's record-keeping and treatment-notice rules, which sit outside the invoice.

Is a termite inspection report the same as an invoice?

No. A termite or timber pest inspection report records what you found; the invoice bills the client for producing it. Keep them as two documents and put the report number on the invoice so the client, their conveyancer or their insurer can match them.

Pre-purchase timber pest inspections are generally done to the national standard for timber pest inspections and reports, AS 4349.3. The invoice line can simply read "Pre-purchase timber pest inspection and report (AS 4349.3), report #2291, 14 Smith St". If the buyer and the person paying are different (an agent or conveyancer often pays), invoice whoever engaged you and name the property.

Worked pest control invoice example

Example: general pest treatment and rodent baiting at a three-bedroom house. The figures are illustrative, not recommended rates. Copy the descriptions into the Australian invoice generator and replace the quantities and prices with your own.

Line itemQtyRate before GSTAmount before GST
Call-out and inspection1$95.00$95.00
General pest treatment: cockroaches and spiders, internal and external perimeter (product and active constituent listed)1$220.00$220.00
Lockable rodent bait stations installed: roof void and garage4$25.00$100.00
Warranty: 6 months on cockroach treatment; free re-treatment if activity returns1$0.00$0.00
Subtotal$415.00
GST at 10%, if registered and supply is taxable$41.50
Total including GST$456.50

Make this useful for your client: The $0.00 warranty line costs nothing and puts the warranty terms in writing on the same page as the price. Put the property address, service date and technician name in the notes. If you are not registered for GST, use "Invoice", set GST to zero and remove the GST line. Check the ATO tax invoice requirements before sending a tax invoice.

How do you invoice quarterly or annual pest control contracts?

Pick one of two models and stick to it: invoice after each scheduled visit, or invoice an agreed instalment at the start of each period. Per-visit invoicing suits homes; commercial clients such as cafes, warehouses and strata usually want one invoice per quarter that quotes their purchase order number and names the service period.

Commercial accounts are where pest invoices go quiet: the invoice lands in an accounts inbox, waits for PO approval and drifts past 30 days. Set clear payment terms on the agreement, and follow the steps in chasing overdue invoices when a quarter slips. If you are rebuilding the same quarterly invoices by hand and chasing the same facility managers every month, InvoiceSonic (from the same team) sends recurring invoices on a schedule and follows up unpaid ones with automatic reminders. Pro is A$19/month, with a free plan to try it.

Do pest controllers need an ABN and GST on invoices?

If you run a pest control business, quote your ABN on every invoice. When a business client pays a supplier who has not quoted an ABN, the ATO generally requires the client to withhold 47% of the payment, so a missing ABN can cost you nearly half the invoice until tax time.

You must register for GST once your GST turnover reaches $75,000 in the current or projected 12 months (see the ATO registration rules). Below that, registration is optional; if you are not registered, do not add GST. More in our GST threshold guide and ABN guide.

Frequently asked questions

What should be on a pest control invoice?

Your business name and ABN, the client and property address, the service date, a unique invoice number, each treatment as its own line (pest targeted, area treated, product used), the warranty period and re-treatment terms, the total with GST if you are registered, and how to pay. Adding your pest management licence number answers the client's first question before they ask it.

Do I need a licence to invoice for pest control?

You need a licence to do the work, not to send the invoice. In NSW the EPA licenses pest management technicians who apply pesticides for a fee or reward, in Queensland you need a Queensland Health pest management licence to apply pesticides or fumigants on a commercial fee-for-service basis, and in Victoria the Department of Health licenses anyone carrying on a pest control business. Check your own state regulator.

Is a termite inspection report the same as an invoice?

No. The report records what you found and is a separate document; the invoice bills for the inspection. Pre-purchase timber pest inspections are generally reported to the Australian Standard AS 4349.3. Reference the report number on the invoice so the two can be matched.

How do I invoice a quarterly pest control contract?

Either invoice after each visit, or invoice the agreed instalment at the start of each quarter. Per-visit invoicing is simplest for homes; commercial clients often want one invoice per quarter quoting their purchase order number. Whichever you choose, name the service period on every invoice.

Is this pest control invoice template free?

Yes. No signup, no watermark, unlimited invoices, and your data stays in your browser.
